What goes on a commercial invoice

The fields customs brokers and banks look for first.

Parties

Seller (exporter) and buyer with full addresses, and the consignee if the goods go somewhere else. Many countries also expect the exporter's and importer's tax or registration numbers.

Goods

A plain description that a customs officer can classify, the HS code, quantity and unit, unit price and line total, and the country of origin.

Terms

The Incoterm with its named place (for example FOB Ningbo), the currency and the payment terms. Together these tell customs what the price includes.

The packing list

Same invoice number and parties, no prices. For each line: cartons, net and gross weight and measurements, then totals. Forwarders book space and prepare the bill of lading from it.

Shipping marks

The text stencilled on each carton (consignee, destination, order number and carton numbers) so the goods can be matched to the documents.

Check before you send

Totals on the invoice, packing list, bill of lading and any letter of credit must agree exactly. A one-kilogram difference in gross weight is a classic reason for a bank to refuse documents.

Is my invoice data uploaded anywhere?

No. The generator runs entirely in your browser. What you type is saved only in your browser's local storage on this device, so it is there next time; the Clear button deletes it. Printing and saving as PDF use your browser's own print dialog.

What is the difference between a commercial invoice and a packing list?

The commercial invoice states what was sold and for how much: prices, currency, Incoterm and payment terms. Customs uses it to value the goods. The packing list states how the goods are packed: cartons, net and gross weight, dimensions and volume. It usually carries no prices.

Which HS code should I use?

The one your goods are classified under in the importing country's tariff. The first six digits are shared internationally; the rest vary by country. The example lines on this page show 4819.10 and 4819.20, the headings for corrugated and folding paperboard cartons; confirm your own with a customs broker.

What does 'SAY ... ONLY' mean on an export invoice?

It is the total amount written out in words, a long-standing habit on export invoices and letters of credit that makes it harder to alter the figure. The generator writes it for you in the selected currency.

How do I save the invoice as a PDF?

Click Print / Save as PDF and choose 'Save as PDF' as the printer. The invoice and packing list print on separate A4 pages with no site header or footer.
